Data Deletion Instructions
HiveThread is a unified-inbox platform operated by Funsquare Pty Ltd. This page explains how to request deletion of personal data we hold about you, whether you are a merchant who uses HiveThread to manage your customer conversations, or an end-customer whose messages have passed through a HiveThread-powered inbox.
- If you have a HiveThread account (merchants), the fastest path is in-app: sign in, open Settings → Profile → Danger zone, click Delete account. Your account is anonymised immediately and permanently removed 30 days later. See Section 2A for details.
- For all other deletion requests (end-customers, reviewers, Meta/Google platform users), email [email protected] with the subject line "Data deletion request". We will verify your identity and delete your data within 30 days, then reply to confirm.
1. Who this applies to
This process is available to any of the following people:
- Merchants: businesses that have signed up for a HiveThread account and connected one or more messaging channels (Facebook Messenger, Instagram, SMS, or the webchat widget) or review-monitoring channels (Facebook Page reviews, Google Business Profile).
- End-customers: people who have messaged a HiveThread-powered business via Messenger, Instagram, SMS, or a website chat widget.
- Reviewers: people whose public review of a HiveThread-powered business (left on Facebook or Google) has been ingested into the merchant's review inbox.
- Meta platform users who connected their Facebook Page or Instagram Business account to HiveThread and now want their data removed, including in response to the "Remove App" action inside Facebook Settings.
- Google account holders who connected their Google Business Profile to HiveThread and now want their data removed.
2A. Merchants: self-service account deletion (fastest path)
If you have a HiveThread merchant account, you can delete your account yourself directly from inside the app, no email required.
- Sign in at app.hivethread.io
- Open Settings → Profile
- Scroll to the Danger zone at the bottom of the page
- Click Delete account, re-enter your password to confirm, optionally pick a reason, and click Delete account permanently
What happens next:
- Immediately: your profile is anonymised (name and email are replaced with placeholders), you are signed out of every device, and push notifications stop. Your active sessions are revoked.
- For the next 30 days: your account is in a soft-deleted "grace" state. If you change your mind, email [email protected] from your original account email and we will restore it.
- After 30 days: a nightly job permanently removes the user row and any data linked to your account that other team members or your organisation don't independently own. This deletion is final, restoration is no longer possible once this step runs.
Owners of multi-person organisations: if you are the only Owner of your organisation, we will block the in-app deletion and ask you to first transfer ownership to another team member or delete the organisation entirely. This is so the organisation isn't left without an Owner.
The in-app flow deletes your user account. It does not delete the organisation, its conversations, its contacts, or other team members. If you want the entire organisation removed, email us, see Section 3.
2. What data will be deleted
When you request deletion, we will permanently remove the following from our systems within 30 days of identity verification:
- Your account profile (name, email, hashed password, preferences)
- Any organisation, team, and channel settings you own
- Stored Meta Page access tokens, Instagram tokens, Twilio credentials, and Google Business Profile OAuth access and refresh tokens connected to your account
- Messages, conversation history, and contact records linked to your inbox
- Reviews ingested into your review inbox from connected Facebook Pages and Google Business Profiles, including reviewer name, rating, review text, and any reply you posted through HiveThread
- Media attachments stored in Cloudflare R2 (images, files sent within conversations)
- Any cached profile data (display name, profile picture URL, platform-scoped IDs) received from Meta, Google, or other platforms
- Stripe customer record and stored payment-method tokens linked to your subscription. Invoice records held by Stripe itself are retained per Stripe's terms; HiveThread does not retain card data.
Backups that contain your data will continue to roll off their normal retention schedule (up to 30 additional days) before being permanently removed.
3. How to request deletion by email
Merchants with a HiveThread account should prefer the in-app self-service path described in Section 2A. For end-customers, reviewers, Meta or Google platform users, or merchants who cannot sign in, send an email to [email protected] with:
- Subject line: Data deletion request
- The email address associated with your HiveThread account (if you are a merchant), or the Facebook / Instagram / phone number you used to message a HiveThread-powered business (if you are an end-customer)
- A short description of what you would like deleted. For example: "delete my entire HiveThread account" or "delete all messages sent from my Instagram handle @example to [business name]"
We may ask one or two follow-up questions to verify your identity before we act on the request, so that we don't accidentally delete the wrong person's data.
4. How to disconnect HiveThread from your Facebook or Instagram account
If you connected HiveThread to a Facebook Page or Instagram Business account and would like to revoke that connection immediately (without waiting for an email reply), you can remove HiveThread directly from your Facebook settings:
- Open Facebook Settings → Business Integrations
- Find HiveThread in the list of connected apps
- Click Remove
Removing the integration from Facebook immediately revokes HiveThread's access token for your Page and prevents any new messages, reviews, or profile data from being ingested. To also delete the historical data we have already stored, follow the email process described in Section 3.
4A. How to disconnect HiveThread from your Google account
If you connected HiveThread to a Google Business Profile and would like to revoke that connection immediately, you can remove HiveThread directly from your Google account settings:
- Open Google Account → Third-party apps & services
- Find HiveThread in the list of apps with access to your Google account
- Click Remove access
Revoking access from Google immediately invalidates the OAuth tokens HiveThread holds for your Business Profile and stops new reviews from being ingested. To also delete the historical reviews and tokens we have already stored, follow the email process described in Section 3, or click Disconnect on the Google Business Profile section of HiveThread's Settings → Reviews page.
5. Response time
We respond to all data deletion requests within 30 days, in line with the Australian Privacy Act 1988 and, where applicable, the EU General Data Protection Regulation (GDPR). In most cases we action the request within a few business days. You will receive a confirmation email once the deletion is complete.
6. Merchants: deleting end-customer data in your own inbox
If you are a HiveThread merchant and an end-customer has asked you to delete their conversation history from your inbox, you can do that yourself from the HiveThread app. If you need help actioning a bulk or legal request, contact us at [email protected] and we will assist.
